Shift: Part Time Responsibilities
The Administrative Assistant supports various managers through administrative and clerical assistance. Work can be part-time or full-time during the weekdays. Work is performed at the clinic or administration building. The position requires extensive telephone and computer use as well as a high degree of accuracy and flexibility when dealing with staff, patients, patient families, and funding sources.
- Supports Human Resources with discontinued policies and procedures, job descriptions and other archived documents. Creates and updates organization charts in Visio upon request.
- Handles mailing procedures related to Pitney Bowes postage. Refills postage machine, trains and assigns users on how to use the mail meter. Creates labels and tracks stamps created for individual departments.
- Prepares expense reports for select members of Executive leadership team.Assist other managers upon request. Contacts vendors for receipts, folio information, and itemized receipt breakdown. Matches receipts to company expenses, and codes billing invoices.
- Assist General Counsel and legal department with onboarding contracted physicians. Ensures files are current with updated copies of agreements, performance appraisals, licensure information, insurance documents, W-9 documents and any other required documentation.
QualificationsExperience and Education
- Educational Background: Must obtain/have general knowledge of brain injury rehabilitation and/or experience. Must have a high school diploma or GED.
- Work Experience: Must have basic knowledge of computers and Microsoft Suite software. Must be detail-oriented, have strong personal organization skills, and the ability to multi-task.
