Coordinator Curriculum and Instruction

The Coordinator, Curriculum & Instruction serves as a central coordinator and operational lead for the Curriculum & Instruction Division, ensuring the effective execution of division priorities and processes, communications, and administrative operations. Working closely with the Director of Curriculum & Instruction and Deputy Superintendent of Curriculum & Instruction, the Coordinator develops and maintains systems that support organizational efficiency, remove operational barriers, and ensure timely follow-through on division responsibilities. This position is responsible for coordinating work across departments, monitoring action items and deliverables, facilitating personnel and organizational processes, and resolving operational challenges before they escalate. Through strong organizational skills, sound judgment, attention to detail, and a sense of urgency, the Coordinator helps ensure that division leaders can focus on strategic priorities while maintaining efficient day-to-day operations across the Curriculum & Instruction Division.

Essential Job Functions:

  • Coordinates and supports execution of division priorities across Curriculum & Instruction, ensuring requests, assignments, deadlines, and deliverables are completed accurately and on time.
  • Serves as the Director's designee in coordinating communications, action items, operational requests, and follow-up activities with department leaders and district stakeholders.
  • Maintains systems for tracking assignments, deadlines, pending actions, staffing activities, and division priorities on behalf of the Director and Deputy Superintendent.
  • Monitors division deliverables and follows up with department leaders to ensure timely completion of assigned work and leadership requests.
  • Identifies, addresses, and resolves operational issues and bottlenecks before escalation to division leadership.
  • Coordinates special projects, initiatives, and assignments requiring collaboration across multiple departments and stakeholder groups.
  • Provides high-level organizational support.
  • Coordinates, monitors, and tracks personnel-related processes across the Curriculum & Instruction Division, including new hires, transfers, resignations, staffing changes, and onboarding activities.
  • Review memos, correspondence, reports, presentations, and other submissions from department leaders to ensure clarity, completeness, formatting, and alignment with district standards prior to executive review.
  • Provides feedback and coordinates revisions to improve the quality and consistency of communications and deliverables.
  • Coordinates collection of information, responses, and supporting documentation requested by the Director, Deputy Superintendent, and other district departments.
  • Prepares communications, updates, reminders, notices, and informational materials as directed.
  • Maintains strict confidentiality regarding personnel matters, leadership communications, and sensitive organizational information.
  • Ensures communication between departments remains timely, professional, and aligned to division expectations.
  • Coordinates division responses to district information requests and ensures required documentation is submitted accurately and on time.
  • Supports implementation of Curriculum & Instruction initiatives through coordination with district departments and campuses using established district communication channels.
  • Monitors department websites and works with department leaders to ensure information remains current, accurate, and aligned with district expectations.
  • Maintains organizational systems, records, and resources necessary to support efficient division operations.
  • Anticipates organizational needs and proactively develops solutions to improve efficiency and effectiveness.
  • Evaluates existing processes and recommends improvements that include accountability, communication, and operational effectiveness.
  • Facilitates collaboration among departments to resolve challenges and remove barriers to successful implementation of division priorities.
  • Demonstrates flexibility and adaptability in a fast-paced environment with changing priorities and frequent interruptions.
  • Demonstrates a high level of urgency, responsiveness, professionalism, and accountability in all aspects of work.
  • Demonstrates flexibility in scheduling and availability, including extended or adjusted work hours during peak operational periods and critical deadlines, to ensure timely and high-quality execution of responsibilities.

Knowledge, Skills & Abilities:

Knowledge of organizational systems, workflow management, and operational coordination practices. Knowledge of project management and operational planning practices, including the development of timelines, deliverables, and systems for tracking execution. Knowledge of professional communication standards and executive-level correspondence. Knowledge of federal, state, and district requirements related to education operations, compliance, and reporting. Skill in managing multiple, high-priority initiatives simultaneously, ensuring alignment, timely execution, and high-quality outcomes across departments. Skill in organizing and maintaining complex tracking systems and records. Skill in reviewing written communications for clarity, tone, professionalism, and completeness. Skill in coordinating work across multiple departments and stakeholder groups. Skill in building and maintaining tracking systems and tools that provide visibility into progress, risks, and next steps. Skill in developing systems that improve accountability and operational effectiveness. Skill in organizing and managing detailed processes, including reconciliation of data, review of documentation, and ensuring accuracy across systems. Skill in using software applications, including spreadsheets, databases, and project management tools, to support analysis, tracking, and reporting. Skill in clear and effective communication, both oral and written, with the ability to engage and support stakeholders across multiple levels of the organization. Ability to lead through influence and coordinate work across departments without direct authority, ensuring alignment, accountability, and consistent execution of division priorities. Ability to operate with a high level of urgency, precision, and accountability in a fast-paced, high stakes environment. Ability to anticipate needs, identify risks, and proactively address issues to ensure smooth and effective division operations. Ability to build and maintain strong working relationships that support collaboration, trust, and effective execution across Curriculum & Instruction departments. Ability to manage competing priorities and deadlines while maintaining accuracy, responsiveness, and attention to detail. Ability to engage in continuous professional learning and adapt to evolving operational demands and district priorities.

Travel Requirements:

Travels to school district buildings and professional meetings as required.

Physical & Mental Demands, Work Hazards Tools/Equipment Used:

Standard office equipment, including computer and peripherals. Posture: Prolonged sitting and standing; occasional stooping, squatting, kneeling, bending, pushing/pulling, and twisting. Motion: Frequent repetitive hand motions, including keyboarding and use of mouse; occasional reaching. Lifting: Occasional light lifting and carrying (less than 15 pounds). Environment: Works in an office setting; may require occasional irregular and/or prolonged hours. Attendance: Regular and punctual attendance at the worksite is required for this position. Mental Demands: Maintains emotional control under stress; works with frequent interruptions.

Minimum Required Qualifications:

Education: Bachelor's degree required; Degree in Business Administration, Public Administration, Organizational Leadership, Educational Leadership, Human Resources or related field preferred. Certification/License: None. Experience: Minimum of 2 years of progressively responsible experience in organizational administration, executive support, project coordination, operations, human resources, or a related field. Demonstrated experience developing, monitoring, and maintaining organizational systems, project timelines, tracking tools, or operational processes required. Experience supporting senior leaders and coordinating work across multiple departments preferred. Experience managing complex organizational processes with demonstrated ability to manage timelines, coordinate cross-functional work, and ensure execution of key initiatives preferred.
