Emt Coordinator

Grand Canyon University! One of Arizona's leading institutions of higher learning. Located in the Valley of Sun in the heart of Phoenix, Arizona, GCU is an institutionally accredited, private, nondenominational Christian University.

The EMT Coordinator manages scheduling, office operations, and training oversight for the GCU EMS Program.

Serving as the program's operational backbone, this role ensures schedules are accurate and fully staffed, administrative processes run smoothly, and EMT members receive consistent, high-quality training and mentorship.

Reporting to the Director of Emergency Preparedness and the EMS Program Chief, the EMT Coordinator is a primary point of contact for EMS personnel, Event Services, Athletics, and program leadership. The position owns day-to-day coordination to support the Program Chief's focus on strategic and academic priorities and combines administrative leadership with direct supervision of student and staff EMTs.

Primary Responsibilities /Accountabilities/ Essential Functions:

  • Build, maintain, and continuously update master EMS staffing schedules across campus events, athletics, clinical shifts, and training activities.
  • Serve as the primary liaison between GCU EMS and Events/Athletics for event medical coverage needs.
  • Manage coverage gaps, call-outs, and shift swaps, escalating unresolved staffing issues to the EMS Program Chief.
  • Communicate schedule changes, event needs, and operational updates to program leadership and EMS personnel in a timely, organized manner.
  • Track attendance, certifications, training records, and required program documentation to ensure ongoing readiness.
  • Serve as day-to-day office manager for the EMS Program, overseeing supply inventory, equipment organization, and supply tracking.
  • Prepare schedules, reports, presentations, correspondence, and other program materials using Excel, PowerPoint, and Word.
  • Maintain organized, accurate, and confidential program files, including student, patient, and personnel records.
  • Serve as a point of contact for day-to-day inquiries from students, staff, athletics personnel, and campus partners.
  • Support budget tracking, purchasing requests, and vendor coordination as needed.
  • Assist in planning, coordinating, and delivering EMT training, drills, and skills practice sessions.
  • Directly supervise and mentor EMT program members, providing feedback on professionalism, readiness, and accountability.
  • Support onboarding and orientation of new EMS program members.
  • Coordinate CPR/AED, STRs and other certification renewals to keep program members in good standing.
  • Help identify training gaps and recommend additional development opportunities to the EMS Program Chief.
  • Other duties as assigned.

Equipment Used and Responsibility

  • Ability to utilize Microsoft Office Suite and Teams for document creation, document sharing, information sharing, and response coordination.
  • Knowledge and experience using Basic Life Support (BLS) equipment such as Cardiac Monitor/Defibrillator, Jump Bag, portable oxygen, cervical collars, spine boards and stretchers.
  • Administer IV and airway equipment
  • Holds CPR/AED instructor certification.

Supervisory Responsibilities

  • No direct reports. Expected to perform daily supervisor/manager duties and coordinate responses as the EMS Program Chief's designee.

Experience/ Education

  • Bachelor's degree in field such as biology, chemistry, emergency management, public safety, public administration, or closely related field.
  • Valid Arizona Emergency Medical Technician (EMT) certification and in good standing with Arizona Department of Health Services (ADHS) Bureau of EMS.
  • Must have valid and current Arizona's driver license.
  • Must pass a pre-employment background investigation, including fingerprinting.
