Medical Administrative Specialist

Location: McKinney, TX
Employment Type: Contract
Work Arrangement: 100% Onsite
Schedule: Monday–Friday | 8:00 AM–5:00 PM
Pay Rate: $18.00–$21.00 per hour

Position Overview

Wheeler Staffing Partners is seeking a detail-oriented Medical Administrative Specialist for a contract opportunity in McKinney, TX. This fully onsite position supports healthcare operations by managing physician orders, coordinating documentation with physician offices, maintaining electronic medical records, and ensuring outstanding orders are processed and followed up on accurately and efficiently.

The ideal candidate has 1–3 years of administrative experience, preferably within a healthcare, home health, medical office, or clinical environment. Strong organization, communication, follow-up, and Microsoft Office skills are essential for success in this role.

Key Responsibilities

  • Manage Homecare Homebase (HCHB) workflow tasks related to physician orders and supporting documentation.

  • Process daily workflow tasks that generate physician orders requiring signature.

  • Organize and send or deliver physician orders using each provider’s preferred delivery method.

  • Communicate with physician offices regarding outstanding orders, documentation needs, and delivery preferences.

  • Coordinate with physician offices to identify changes in preferred delivery methods and opportunities to streamline the order process.

  • Track outstanding physician orders and perform timely follow-up according to established procedures.

  • Escalate outstanding or unresolved orders when appropriate.

  • Receive signed physician orders and accurately process documentation within the electronic medical record (EMR).

  • Attach completed documentation to the appropriate patient record based on order type.

  • Communicate receipt and completion of orders to appropriate internal stakeholders.

  • Assist internal teams with obtaining required non-order documentation from physicians and other external healthcare stakeholders.

  • Maintain accurate and organized records while protecting confidential patient and healthcare information.

  • Build professional working relationships and rapport with physician offices, healthcare providers, internal teams, and other stakeholders.

  • Manage daily priorities effectively to ensure orders and follow-up activities are completed within required timeframes.

Required Qualifications

  • High school diploma or equivalent required.

  • 1–3 years of administrative, healthcare, medical office, or related professional experience.

  • Valid driver’s license, current automobile insurance, and reliable transportation required.

  • Proficiency with Microsoft Office, including Word, Excel, and Outlook.

  • Strong organizational and time-management skills.

  • Excellent attention to detail and accuracy.

  • Strong written and verbal communication skills.

  • Ability to professionally communicate and build rapport with physician offices and healthcare professionals.

  • Ability to manage multiple priorities and consistently meet follow-up deadlines.

  • Comfortable working with electronic medical records, workflow systems, and healthcare documentation.

  • Ability to work independently while effectively collaborating with internal and external stakeholders.

  • Ability to work 100% onsite in McKinney, TX, Monday through Friday from 8:00 AM–5:00 PM.

Preferred Qualifications

  • Previous experience in home health, healthcare administration, medical records, physician orders, or medical office operations.

  • Experience with Homecare Homebase (HCHB) or a similar healthcare EMR system.

  • Vocational or technical healthcare training.

  • CNA, Medical Assistant (MA), or similar healthcare-related certification.

  • Experience communicating directly with physician offices and managing clinical documentation.
