As we continue to expand, we are seeking a professional and dependable Receptionist to join our remote operations team.
Position Overview
The Receptionist is responsible for providing professional front-line communication and administrative support to Oates Energy. This role assists customers, residents, property representatives, vendors, and internal team members by responding to routine inquiries, directing communications, maintaining records, and supporting daily administrative activities.
The ideal candidate is friendly, professional, organized, and comfortable communicating by phone, email, and other digital channels. Strong communication skills, patience, attention to detail, and the ability to manage multiple requests are essential.
Key Responsibilities
- Answer and respond to incoming calls using approved company communication systems
- Greet and assist customers, residents, vendors, and other callers professionally
- Direct calls, messages, and inquiries to the appropriate department or team member
- Respond to routine inquiries by phone, email, and other approved communication channels
- Provide accurate general information regarding company services and procedures
- Take detailed messages and ensure appropriate follow-up
- Schedule and coordinate appointments, meetings, and callbacks as needed
- Maintain accurate call, message, appointment, and contact records
- Assist with customer account and administrative requests
- Enter and update information accurately in company systems
- Monitor incoming communications and route requests to the appropriate team
- Follow up on routine requests and outstanding communications
- Assist with preparing and organizing administrative documents
- Maintain organized digital records and contact information
- Coordinate with customer service, billing, operations, and other internal teams
- Maintain professional and courteous communication at all times
- Protect customer, employee, and company information
- Follow company privacy, communication, and data-handling procedures
- Meet established service, quality, accuracy, and response-time expectations
- Assist with other receptionist, administrative, and customer-support responsibilities as assigned
Qualifications
- Previous experience in reception, customer service, administrative support, call center, or a related field preferred
- Excellent written and verbal communication skills
- Professional, friendly, and customer-focused approach
- Strong listening and interpersonal skills
- Strong organizational and time-management abilities
- Strong attention to detail and accuracy
- Comfortable communicating by phone, email, and web-based applications
- Comfortable using computers, calendars, spreadsheets, and business software
- Proficiency with Microsoft Office Suite preferred
- Ability to manage multiple calls, messages, requests, and priorities
- Strong problem-solving and follow-up skills
- Ability to work independently in a remote environment
- Reliable internet connection and appropriate workspace for remote work
- Experience with CRM, phone, scheduling, or customer-management systems is a plus
- Experience with billing, property management, utility services, or customer account support is a plus
- High school diploma or equivalent preferred

Salary
$26.00–$32.00 per hour, depending on experience and qualifications.
