Job description

Development And Operations Associate

The Northwest Abortion Access Fund (NWAAF) is an abortion fund serving Washington, Oregon, Idaho, and Alaska. Trained, compassionate volunteer advocates run our toll-free helpline. We help people pay for their abortion care by sending funding directly to the clinic or to providers of abortion pills. We also help people get to and from the clinic and ensure those traveling for care have a safe place to stay. We are a mission-driven organization guided by values. We are a 501(c)3 nonprofit and a member of the National Network of Abortion Funds (NNAF), a membership organization of over 95 funds across the United States.

Purpose: The Development & Operations Associate is an entry-level position. It supports NWAAF's development and operations by maintaining donation records, managing day-to-day administrative tasks, and providing timely responses to stakeholder inquiries. This position is Portland-based and provides direct support to the organization's main office by managing incoming mail and storage inventory. This role blends precise routine tasks with compassionate service to all stakeholders. Responsibilities will grow over time as the Associate becomes familiar with the role and duties.

Development Support

  • Track and enter donations (including stock donations) in the organization's Customer Relationship Management (Light Green Light).
  • Respond to donor inquiries, update records, and process changes within established procedures.
  • Manage payment processing and support the bookkeeper and Director of Operations with donation reconciliation.
  • Write and send thank-you notes to major donors and grantors.
  • Support specific development campaigns (such as Fund-A-Thon) with planning and logistics.

Operations Support

  • Collect, triage, and process incoming mail.
  • Maintain the organization's online store, including packing and shipping of orders, and manage inventory/storage access.
  • Organize, curate, and maintain the shared organization's file drives.
  • Provide administrative and logistical support to committee meetings.
  • Support the organization in emergent needs.

Community Engagement

  • Monitor and redirect voicemails for Helpline Line 4 (admin/fundraising).
  • Coordinate volunteers and logistical support for administrative and fundraising tasks.
  • Receive, reassign, and respond to incoming emails in administration inboxes following procedures and templates.

Program & Compliance Support

  • Receive, redact sensitive information, and file payment vouchers received from partner providers.
  • Monitor and redirect messages from Helpline Line 2 (program line).
  • Assist in preparing and submitting state/regional reports.
  • Track time-sensitive compliance tasks and notify leadership.

Communications

  • Perform basic website maintenance.
  • Collaborate and post content on NWAAF's social media platforms.
  • Monitor social media engagement (comments, messages, shares, and mentions) and respond or escalate as appropriate.

Minimum Qualifications

  • Strong alignment with NWAAF's mission and values, demonstrating a deep commitment to social justice and inclusivity.
  • Experience in administration or relevant life experiences.
  • Willingness to learn key software tools (such as Google Suite, Little Green Light, Stripe, Bill, and others).
  • Able to lift 30 lbs.
  • Reliable access to a smartphone, computer, and internet (support provided as needed).
  • Ability to independently travel in Portland, OR, between multiple locations for weekly tasks.
  • Experience working remotely using digital tools, databases, and collaboration platforms.

Desired Qualifications

  • Experience with spreadsheets and being able to manipulate data.
  • Strong written and verbal communication skills, including the ability to make complex information clear and accessible across diverse audiences.
  • High self-awareness and reflective practice; able to recognize positionality, integrate feedback, and model accountability.
  • Demonstrated commitment to equity, inclusion, and anti-oppressive practice, including experience analyzing issues through a justice lens.

Time Commitment

  • 32 hours per week.
  • Semi-flexible schedule.
  • Weekly travel in Portland.
  • Participate in staff meetings as needed.
  • Occasional evening and weekend work is needed to support committee meetings and organization events.

Work-Life Balance & Benefits

  • Schedule: 32 hours/week, flexible.
  • Paid Time Off: 1518 vacation days per year based on tenure.
  • Holiday Pay: 12 federal holidays, 2 floating holidays, plus a week-long office closure.
  • Paid Sick Time: 64 hours frontloaded, which resets on work anniversary.
  • Health Benefits: $400/month health stipend + $300/month mental health stipend.
  • Other Stipends: $250/month wellness + $265/month remote work.
  • Retirement: 3% SIMPLE IRA match.
  • Professional Development: at least $400/yr.
  • This role will require access to a reliable smartphone, a computer, and the internet. NWAAF will provide the necessary tech infrastructure.

Compensation This is a full-time, non-exempt position with an hourly pay range of $36 to $42, depending on experience and qualifications. Employees in this role are eligible for overtime pay in accordance with applicable wage and hour laws. Compensation will be determined based on relevant experience, skills, and alignment with the position's responsibilities. NWAAF is committed to providing transparent and equitable compensation and does not negotiate outside of the stated pay range.

Values Statement NWAAF is committed to meaningful access to abortion for all individuals regardless of identities or circumstances. We believe in a vision of reproductive justice that includes compassion and safety for those accessing abortion, as well as those doing the access work and providing the abortions. We believe that abortion access intersects with racial, economic, and all other forms of oppression, and our work should and can be led by those most impacted by oppression and inequitable access.
