Reports To: Site Director/Operations Manager

Job Summary: The Medical Assistant Program Specialist works with the Site Director, Operations Manager and Medical Director on a daily basis making decisions regarding patient flow and special program needs in a small medical site or specialized department/location. Trains new staff and medical providers in the site/location's workflows, and is competent to check off competencies of other Medical Assistants. The MA Program Specialist also functions as a Medical Assistant, MR and may function as a Health Educator depending on the specific program needs of the site/department/location. With training from a licensed individual, the MA Program Specialist is competent to administer certain medications and injections in compliance with the scope of their certification and qualifications. This position is equivalent in level of responsibility to Team Lead Medical Assistant at larger sites, but specializes in workflows and specific program leadership that is needed in a small site or specialized department/location.

Pay range: $29.83-$35.58 DOE

Duties and Responsibilities:

  • Performs all duties of MA I and MA II.
  • Performs Front Office duties.
  • Serve as support to Operations Manager in selecting, scheduling, training, coordinating and coaching staff at worksite.
  • Orient and train new staff.
  • Oversee daily task completion, including but not limited to: sharps disposal, checking medicines for outdates and checking emergency drug box, ordering medical and office equipment, supplies and medications, autoclaving instruments, lab controls.
  • Inventory and stocking of medication, supplies and equipment of specialized department/location.
  • Train and check off competencies of MAs and other staff throughout the organization, as appropriate, based on the MA Program Specialist's scope and qualifications.
  • Review lab slips for proper documentation and provide lab with missing patient demographic and insurance information necessary for accurate billing.
  • Participate in Quality Improvement Projects and meaningful use to monitor and improve patient care quality.
  • Attend to safety issues; contribute to creating a safe work environment.
  • Perform minor repair of equipment.
  • Meet special program needs specific to the medical site/location, as directed by manager, such as providing health education to teens or homeless patients or coordinating detailed immunization processes, including to but not limited to collecting specimens
  • Maintain tickler files, case management and follow-up for specific program needs as directed by manager.
  • Outreach directly related to program; for example, in school-based health center, includes participation in school health fairs and events, communication with health educators about health center changes, communication with coaches regarding sports physicals; examples will differ for different programs. Homeless encampments, street medicine and shelters.
  • May drive SRCH mobile van
  • Meet customer service standards.
  • Participate in ongoing training.
  • May sit in during audits as requested by Program Manager or Site Director.
  • Other duties as assigned.

Qualifications

Minimum Qualifications:

Education:

  • High school diploma or GED required, post-secondary education preferred.
  • Graduated from an accredited medical assistant program with appropriate certification.
  • Trained and demonstrated ability to give immunizations and other injections.
  • Maintains current CPR certification.
  • Phlebotomy training preferred.
  • Valid CA drivers license

Experience:

  • Minimum 1 year prior medical assisting experience.
  • Experience with electronic medical records.

Knowledge and Skills:

  • Fluency in English and Spanish required (speak, read, and write).
  • Demonstrated proficiency with all Medical Assistant skill competencies.
  • Thorough, detail oriented, careful, and accurate.
  • Demonstrated ability to identify opportunities to improve systems and work flow.
  • Demonstrated history of taking initiative and willingness to accept additional assignments to assist in work flow or improve systems.
  • Demonstrated leadership skills.
  • Demonstrated knowledge of compliance issues within the community clinic environment, including HIPAA.
  • Demonstrated ability to maintain patient confidentiality with the utmost professionalism.
  • Demonstrated willingness to report any incident that is unusual or incompatible with accepted clinic procedures.
  • Strong interpersonal skills: ability to interact sensitively with persons of various social, cultural, economic, and educational backgrounds with topics including sensitive health issues.
  • Ability to work in a fast-paced environment.
  • Proficiency with Microsoft Office applications including Outlook, Word, Excel, and PowerPoint.
  • Strong organizational skills with ability to prioritize projects, work independently, manage multiple tasks, and meet deadlines.
  • Good communication skills with patients and providers: demonstrated ability to speak with others and use written communication in email and electronic medical records to effectively convey information.
  • Ability to work independently and as part of a team.
  • Ability to work flexible hours.
  • Good judgment, problem solving, and decision-making skills.
  • Demonstrated ability to type 35 words per minute.
  • Excellent working knowledge of community resources preferred.

Physical Requirements :

  • Sit or stand for minimum periods of one hour at a time and come and go from the work area repeatedly throughout the day.
  • Lift up to 30 pounds.
