Job Description

Position Overview

Bel-Air Business Solutions, in partnership with Moving Forward Staffing Company (MFSC), is offering an Administrative Support Internship designed to provide practical, hands-on experience in executive administration, business operations, and professional office support.

The Administrative Support Intern will work directly with executive leadership of our partner, providing administrative and personal assistant support while gaining exposure to the operations and leadership of a multi-business environment.

Because the needs of a growing organization can evolve, the scope of the internship may include a variety of administrative, organizational, research, and project-based responsibilities. The intern will have the opportunity to observe and support business activities involving private equity investment, acquisitions, business development, and multi-business organizational structures.

This internship is ideal for a motivated individual interested in learning how executives organize, manage, and grow multiple business interests while developing transferable administrative and professional skills.

- Assist with data entry, document preparation, scanning, filing, and records organization

- Prepare and format correspondence, reports, spreadsheets, presentations, and other business documents

- Organize electronic and physical files

- Maintain administrative trackers, contact lists, calendars, and other internal records

- Gather and organize information for meetings and projects

- Conduct basic business research as assigned

- Support follow-up activities and administrative task tracking

- Assist on special projects involving the organization's various business interests

- Learn and use company-designated software, platforms, and productivity tools

Executive Support

- Organize calendars and schedules for the Director and CEO

- Coordinate meetings, appointments, and business engagements

- Prepare agendas, meeting materials, and supporting documents

- Take and organize meeting notes

- Track action items and deadlines following meetings

- Draft routine correspondence for review

- Organize executive files and records

- Research requested business topics or opportunities

- Coordinate communication with internal and external contacts

Personal Assistant Support

- Assist with personal and professional calendar coordination

- Schedule appointments and reservations

- Organize reminders and important dates

- Research travel, events, vendors, purchases, and other requested needs

- Assist with travel planning and itinerary organization

- Help organize receipts, records, and documents

- Coordinate routine errands or logistical arrangements when appropriate

A high level of professionalism, organization, discretion, and reliability is expected, given the intern's close proximity to executive leadership.
