Director Of Institutional Data And CRM
Chattahoochee Valley Community College observes Eastern Time. Pursuant to Alabama Act. Under 2024-360 and the Alabama Community College Policy and Procedure 204.01, neither tenure nor non-probationary status may be attained in this position. The Director of Institutional Data and CRM serves as the College's chief institutional data officer, providing strategic leadership for enterprise data governance, institutional analytics, customer relationship management (CRM), business intelligence, and regulatory reporting in support of the College's mission and strategic priorities. The Director provides leadership in developing institutional policies, standards, and practices related to enterprise data management and governance while leading the College's enterprise data systems and institutional research functions. The position integrates institutional data resources to support evidence-based decision-making, enrollment management, student success, strategic planning, institutional effectiveness, accreditation, and regulatory compliance. As the College's principal administrator for institutional data and CRM systems, the Director collaborates with instructional, administrative, and student services divisions to ensure the integrity, accessibility, security, and effective use of institutional data while promoting continuous improvement across the College. Salary: Appropriate placement on Salary Schedule C, Rank 1: $103,183-$136,517, which is based on years of directly related full-time experience. Essential Duties And Responsibilities
- Institutional Research and Data Analytics
- Plans, coordinates, and manages the College's institutional research and data analytics functions.
- Conducts statistical analyses and longitudinal studies to identify trends, patterns, and institutional performance.
- Compiles, validates, integrates, and analyzes institutional data from multiple enterprise systems.
- Develops institutional performance indicators, benchmarking studies, and decision-support analyses.
- Prepares executive reports, dashboards, presentations, and other analyses to support strategic planning, institutional effectiveness, enrollment management, student success, and executive decision-making.
- Federal, State, and System Reporting
- Serves as the College's primary coordinator for required federal, state, system, and external reporting.
- Coordinates and oversees reporting requirements, including but not limited to:
- Integrated Postsecondary Education Data System (IPEDS)
- Alabama Commission on Higher Education (ACHE)
- DAX reporting
- National Student Clearinghouse reporting
- Financial Value Transparency/Gainful Employment (FVT/GE)
- Perkins reporting
- Workforce Innovation and Opportunity Act (WIOA) reporting
- Workforce and non-credit reporting
- Campus Safety and Security reporting
- Equity in Athletics Disclosure Act (EADA) reporting
- College Affordability and Transparency reporting
- Alabama Community College System (ACCS) reporting
- Other reporting requirements established by regulatory agencies and external organizations
- Ensures data accuracy, validates submissions, maintains supporting documentation, coordinates reporting schedules, and ensures compliance with applicable regulations and reporting deadlines.
- Enterprise Data Systems and CRM Administration
- Serves as the functional administrator for institutional data and reporting systems, including Banner, the College CRM, DAX, National Student Clearinghouse, Power BI, Microsoft Forms, Xitracs, and other enterprise reporting applications.
- Ensures system functionality, data integrity, effective integration, and appropriate use of institutional data systems.
- Serves as the College's CRM Administrator and provides leadership for the implementation, administration, maintenance, enhancement, and optimization of the College's CRM platform.
- Manages CRM configuration, workflows, automation, user roles and permissions, communication campaigns, recruitment and student success workflows, reporting, and data integration.
- Provides CRM training, technical assistance, and user support.
- Collaborates with enrollment management, admissions, advising, student services, instruction, and information technology to maximize the CRM's effectiveness throughout the student lifecycle.
- Data Governance and Data Management
- Provides institutional leadership for enterprise data governance and data management practices.
- Establishes and maintains standards, policies, procedures, and best practices related to data quality, integrity, definitions, stewardship, security, documentation, metadata, and reporting.
- Promotes consistent data definitions and reporting methodologies across institutional systems and departments.
- Collaborates with Information Technology and campus departments to improve enterprise data management, data integrity, and reporting practices.
- Ensures the responsible use, protection, and confidentiality of institutional information in accordance with FERPA, applicable laws, regulations, and College policies.
- Business Intelligence, Dashboards, and Data Visualization
- Designs, develops, maintains, and continuously enhances executive dashboards, business intelligence reports, interactive visualizations, and institutional performance metrics.
- Develops data visualization tools using appropriate reporting and analytics platforms.
- Provides timely and meaningful information to administrators, faculty, staff, and external stakeholders.
- Assists College leadership in identifying trends, monitoring institutional performance, evaluating outcomes, and supporting continuous improvement.
- Translates complex institutional data into clear, actionable information for planning and decision-making.
- Strategic Planning, Institutional Effectiveness, Assessment, and Accreditation
- Supports the College's strategic planning, institutional effectiveness, assessment, program review, and accreditation activities through data analysis, reporting, documentation, and technical support.
- Provides data and analytical support for annual assessment reporting, program review, enrollment and financial reporting, SACSCOC reaffirmation activities, Fifth-Year Interim Reports, and the Quality Enhancement Plan (QEP).
- Collaborates with the Director of Strategic Initiatives and other institutional stakeholders to identify data needs, establish reporting priorities, and develop analyses that support institutional planning and effectiveness.
- Ensures planning, assessment, and accreditation activities are supported by accurate, reliable, and appropriately documented institutional data.
- Institutional Survey Research
- Coordinates institutional survey research activities involving students, employees, alumni, and other stakeholder groups.
- Designs, administers, and evaluates institutional surveys.
- Conducts data collection, statistical analysis, and interpretation of survey results.
- Prepares reports and presentations of survey findings and develops recommendations to support institutional effectiveness, student success, and organizational performance.
- Institutional Data Requests
- Oversees institutional data request workflows and coordinates requests for institutional information.
- Determines appropriate data sources, validates results, maintains supporting documentation, and ensures timely responses to internal and external stakeholders.
- Collaborates with campus departments to interpret institutional data and promote informed, data-informed decision-making.
- Ensures data requests are handled appropriately with regard to confidentiality, FERPA, applicable laws, and institutional policies.
- Enterprise Systems Integration and Technology
- Works collaboratively with Information Technology to support integration among Banner, the College CRM, DAX, National Student Clearinghouse, learning management systems, Power BI, Microsoft Forms, Xi
