Reporting to the Associate Athletics Director, the Games and Facilities Manager oversees game management, athletic facilities, equipment, uniforms, event readiness, staffing, safety, procurement, inventory, and operational planning, and collaborates with Athletics leadership and campus partners to ensure safe, effective, and well-organized athletic events.

Job Description:

• Develops, coordinates, and provides comprehensive training on game management for the team, covering topics such as crowd control, dispute resolution, complaint reporting, protocols, specific duties during events, and emergency procedures; ensures a positive environment for student-athletes, coaches, officials, and fans; establishes annual training requirements, operating procedures, event checklists, and accountability standards; and evaluates event operations and updates procedures as needed.
• Serves as the Administrator-In-Charge(AIC) for home athletic events scheduled throughout the year and identifies another qualified staff person for the AIC when not able to attend events; facilitates the resolution of any emergencies or problems that may develop; and develops advanced AIC coverage plans, ensures appropriate escalation and incident-reporting procedures are followed, and retains responsibility for department-wide consistency in home-event operations.
• Works closely with the leadership team to oversee and coordinate all logistical needs for the summer sports camps and year-round rentals; ensures the set-up of equipment, sporting attire, and other requests for special needs for all the camps held year-round; coordinates with camp/rental staff to align logistical efforts with the camp's overall objectives.
• Provides operational coordination for internal/external rental logistics, delegates responsibilities to other team members, establishes timelines and readiness standards, and monitors the completion of facility, equipment, apparel, storage, and event support needs.
• Works closely with the leadership team to develop an annual budget plan and periodic budget reports for the program needed to maintain facilities, equipment, uniforms, and other items; monitors budget expenditures to ensure alignment with departmental goals.
• Provides supervision to the team; provides ongoing feedback to all employees including student workers; completes the annual performance evaluations for each regular status and extended temporary staff; set goals and expectations for each staff; resolves workplace conflicts in a timely manner and seeks support from Human Resources or the Office of Equal Opportunity Program, if needed; promotes a safe and healthy work environment; and ensures professional development opportunities are provided to each regular status and extended temporary staff.
• Regularly inspects the Field House and other athletic-related facilities using a documented inspection and follow-up process to ensure that only approved individuals are utilizing the facilities and equipment; ensures clear communication and coordination between the Athletics Department and PPD regarding any field concerns or necessary replacements/improvements; and prioritizes safety and operational deficiencies, submits and tracks work requests, documents unresolved concerns, and elevates significant risks or capital needs to the Athletic Director.
• Coordinates the distribution of game uniforms for all teams; maintains inventory of all uniforms; monitors uniform conditions and coordinates timely repairs or replacements as needed; and establishes uniform inventory controls, issue/return procedures, condition standards, replacement schedules, and reconciliation processes for each program.
• Ensures the appropriate and timely set-up of equipment for all athletic events; collaborates with the team to ensure all set-up requirements meet event specifications and standards; and works with Game Operations to finalize event set-up standards, delegates set-up responsibilities, verifies venue readiness before competition, and ensures breakdown and secure storage are completed after events.
• Coordinates the cleaning, repair, and maintenance of equipment and miscellaneous items used by departmental members and student-athletes; oversees service schedules, repair workflows, laundry/uniform-care options, and vendor or campus service coordination rather than serving as the primary individual responsible for routine manual completion of those tasks; performs other related duties, including machine washing, hand-sewing, and mending of uniforms, etc.; ensures these tasks are completed on time to support athletic programs; and maintains appropriate documentation of repairs, maintenance, losses, replacements, and recurring equipment or facility issues.
• Develops and maintains department-wide standard operating procedures, event operations manuals, emergency and incident-response protocols, equipment and uniform records, facility readiness checklists, staffing plans, and post-event review processes; and serves as a primary Athletics operations liaison with PPD and other campus partners, vendors, officials, visiting teams, and event personnel as assigned.
• Establishes and maintains a positive and supportive working relationship with co-workers and supervisors.
• Demonstrates a genuine commitment to belonging in the workplace and participates in activities and workshops to foster continuous learning.
• Serves as a mandatory reporter under Title IX; and commits to completing Title IX training and other compliance requirements on an annual basis.
• Prioritizes safety in the workplace as a collective responsibility for the well-being of employees and fosters a culture of safety that is integral to our success, including strict adherence to safety procedures and protocols, as well as promptly reporting any safety hazards or incidents.
• Performs related and other duties as needed.

Required Qualifications:

• Bachelor's degree.
• A minimum of three years of professional experience with athletic administration, event management, or a related area.
• Ability to communicate in American Sign Language.

Preferred Qualifications:

• Experience working in a higher education setting.

Knowledge, Skills, and Abilities:

• Strong knowledge of NCAA guidelines and a broad range of sports.
• Strong knowledge of NCAA/Conference game management guidelines, safety protocols, and compliance requirements, with the ability to develop and implement effective procedures.
• Demonstrated experience with budgeting, procurement, inventory management, vendor coordination, and operational planning.
• Demonstrated experience coordinating facility maintenance, equipment needs, risk assessment, and long-term operational planning.
• Demonstrated ability to work with and across University departments, outside constituents and groups.

Additional Job Details:

• The incumbent must be able to work in evenings and weekends as needed.
