IT Coordinator
Under the direction of the VP of IT, IT Coordinator must perform a variety of highly confidential administrative and coordinator duties.
Essential Job Functions:
Provides and assist the Director of IT in day to day operations and specific tasks in a fast pace environment as well as supporting IT team members
Files and archives of all IT related documents (i.e. requisitions, vendor software licenses, hardware locations, equipment receipts authorization etc.)
Assist with the tracking of IT budgets and associated costs for the IT department.
Handles all inventory management for Ipods, Ipads, Radios and Company Cellphones which includes purchase order generation, order tracking and all IT inventory.
Tracking all internal and external requests which would include invoicing, status of purchase requisitions/purchase orders, troubleshooting and handling the wireless accounts as well as the setup for new team members and vendors
Responsible for assisting team members with computer and cellphone questions and issues related to software or hardware systems
Order office supplies and maintain inventory for IT as well as a range of items relating to office management (i.e. ordering supplies from off-site warehouse /inventory for both offices and department within)
Handle coding and charge-backs to various departments for all software and hardware purchases for the property. Entering of all IT related Capex.
Responding to general inquiries and forwarding inquires to various departments as appropriate
Coordinating Travel arrangements, document development for IT.
Responsible for the update and maintenance of various distribution lists internally and externally.
Assist in gathering data for budget preparation and in monitoring expenses and reporting variances to IT Director
Follow-up with IT Staff on status of department projects and compiles status reports
Prepare and/or delivers a wide range of other Administrative duties as it relates to activities within the IT department.
Responsible for maintaining a clean, safe and hazard free environment
Skills & Experience Requirements:
Excellent organizational skills
Familiarity with Purchasing MMS System a plus
Experience in maintaining calendars, corporate correspondence, and meeting planning
Extreme level of integrity and confidentiality
Advanced PC skills in Microsoft Office, including Word, Power Point and Excel
Ability to work independently as well as collaboratively to meet deadlines
High level of accuracy and attention to detail
Ability to exercise good judgement and make sound decision with minimal direction
Excellent interpersonal skill, outgoing personality, flexibility and adaptability to change
Ability to anticipate needs and utilize appropriate resources to resolve issues
Support experience to a large department and reporting to two or more executives required.
Self-sufficient, requiring limited supervision over job knowledge, expectations and successful project completion
Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
High School diploma or equivalent and one to two (1-2) years of administrative experience is required; or an equivalent combination of education and/or work experience
Must possess ability to read and understand all Seminole Tribe of Florida's policies and procedures. Must be able to communicate effectively with guests, vendors and team members. Basic mathematical skills to include ability to add, subtract, multiply and divide. Ability to handle non-standard situations where some judgement must be exercised. Knowledge of computer systems as well as copiers, fax machine and various printers.
