Job description

Project Coordinator (Non-Attorney)

Inland Counties Legal Services (ICLS) is seeking a Project Coordinator to join its Pro Bono Team to provide legal support to and support the coordination of ICLS's Pro Bono Programs and Student Programs, which serve to expand ICLS's capacity to serve clients and help educate future generations of lawyers and legal advocates. ICLS is a 501(c)(3) nonprofit organization providing free legal services to people of limited means residing in Riverside and San Bernardino counties. ICLS targets services to seniors and those in the greatest social and economic need. ICLS provides legal assistance in eight practice groups: Elder, Family Law, Consumer, Housing, Immigration, Systemic & Impact Litigation, Health Law, and Public Benefits & Education; and a Pro Bono Program, operating volunteer-enhanced client programs, including Small Business & Nonprofit, Expungement, LGBTQ+ Services, Guardianship, Disaster Preparation & Response, and Student Programs, among others.

Overview of Position & Responsibilities

The core responsibilities for the Project Coordinator position are as follows:

Project Coordination

The Project Coordinator will work with the Pro Bono Team, including the DVRO Pro Bono Coordinator, Managing Attorneys, and Pro Bono Director, to support implementation and day-to-day operations of ICLS's DVRO Pro Bono Project and related volunteer-driven services for survivors of domestic violence. The Project Coordinator will focus on clinic operations, volunteer coordination, outreach support, data tracking, and administrative systems necessary to sustain and expand the project.

  • Coordinate logistical and administrative operations for DVRO pro bono clinics and related project activities, including scheduling, preparation of clinic materials, client communications, technology coordination, and other clinic logistics.
  • Assist with volunteer recruitment, onboarding, scheduling, and ongoing communication for attorneys, law students, interpreters, and other project volunteers.
  • Maintain volunteer participation records, collect volunteer hours and project metrics, and assist with tracking grant deliverables and reporting requirements.
  • Assist with client outreach, intake coordination, appointment scheduling, and distribution of pro per resources and clinic information to survivors seeking services.
  • Coordinate development, organization, and distribution of outreach materials, volunteer resources, clinic procedures, and training logistics developed by the DVRO Pro Bono Coordinator and Pro Bono Team.
  • Support implementation and maintenance of codified clinic procedures, referral systems, operational guides, and project coordination systems.
  • Assist with coordination and communication among ICLS staff, volunteers, courts, domestic violence service providers, community-based organizations, law firms, bar associations, corporations, and law schools participating in the project.
  • Help organize outreach events, trainings, workshops, clinics, and regional convenings, including occasional travel throughout San Bernardino and Riverside Counties.
  • Assist with data entry, maintenance of case and referral tracking systems, and preparation of program statistics and other materials related to grant reporting and project evaluation.
  • Assist with case management, intake coordination, document organization, follow-up communications, and other administrative tasks necessary to support DVRO clinics, referrals, and pro bono representation matters.
  • Provide operational and administrative support necessary to sustain and expand the DVRO Pro Bono Project and related volunteer-driven services.

Legal Support

The Project Coordinator will work with the Pro Bono Team to support legal services, clinic operations, and volunteer coordination related to the DVRO Pro Bono Project, including:

  • Assisting with preparation, organization, and coordination of DVRO forms, supporting documents, clinic materials, and other project-related materials for review by supervising attorneys and volunteers.
  • Coordinating communication with clients receiving services through the DVRO Pro Bono Project, including conducting telephone, virtual, and in-person communications with applicants and clients and coordinating clinic appointments, meetings, and related events.
  • Assisting with intake coordination, eligibility screening, case management, referral tracking, and follow-up communications related to DVRO clinics and representation matters.
  • Assisting with collection and maintenance of project data, reports, volunteer participation records, and other grant-related metrics and compliance requirements.
  • Coordinating scheduling for clients, clinics, volunteers, trainings, and other project activities as needed.
  • Supporting outreach and communication efforts related to DVRO services, clinics, trainings, and volunteer opportunities.
  • Assisting attorneys and volunteers with administrative support related to clinic operations, document management, meeting coordination, and case-related logistics.
  • Assisting with preparation and organization of draft correspondence, resource materials, and other non-substantive documents for attorney review.
  • Assisting with filing, uploading, organization, and maintenance of case and project documentation, consistent with ICLS policies and procedures.

Education, Skills, and Experience

An ideal candidate will have the following qualifications and experience:

  • Bachelor's or Associate Degree (required);
  • 35 years of relevant professional experience, including at least 2 years of experience in the preparation of legal documents and/or legal advocacy (required);
  • Demonstrated leadership, presentation, and organization skills (required); and
  • At least 12 years of experience working on or coordinating pro bono, volunteer, public interest or community service initiatives (required); and
  • At least 12 years of project coordination or management experience (preferred);
  • A combination of the experience and skills described below.

Project Coordination Experience

  • Strong project management skills, including organization and ability to multi-task
  • Ability to work independently and as part of a team
  • Ability to lead and collaborate with a broad range of stakeholders
  • Strong analytical, organizational, communication skills; ability to advocate persuasively for the program mission
  • Ability to travel to community events in ICLS's service area
  • Ability to participate in events outside of regular work hours
  • Microsoft Word, Outlook, Excel, and PowerPoint proficiency

Pro Bono/Volunteer Systems Experience

  • Background in coordinating pro bono work and/or student programs preferred but not required
  • Basic understanding of volunteer "systems" in California (i.e., the manner in which private law attorneys are connected to low-income clients)
  • Ability to communicate effectively with, oversee, and/or mentor volunteers, as appropriate
  • Ability to cultivate and develop pro bono and professional relationships

Legal Support Experience

  • Knowledge of legal processes and procedures
  • Experience preparing legal forms, pleadings, declarations, or other legal documents
  • Ability to read, write, and communicate in English, with Spanish being a plus
  • Demonstrated commitment to legal services work
  • Demonstrated commitment to equal access to justice
