Position Summary

The Training Content Migration & Digital Learning Specialist will support migration, organization, development, and ongoing maintenance of training content supporting ERP and CRM business applications. This role is responsible for reviewing and migrating existing Quick Start Guides and related learning materials into a structured SharePoint document library, maintaining content within Visual SP (VSP), and transforming written Quick Start Guides into short, engaging training videos for deployment through the company's Learning Management System (LMS). This position will manage the full content migration lifecycle, including inventorying existing materials, identifying gaps and duplicates, validating content with subject matter experts, standardizing document formats, applying naming conventions and metadata, migrating approved materials, and conducting post-migration quality checks. The role will also establish processes to ensure training content remains current, accurate, searchable, and aligned with ERP and CRM system and business process changes. The ideal candidate will have hands-on experience with content migration projects, SharePoint document libraries, training content management, video development, and LMS administration. Success in this role requires exceptional attention to detail, strong technical aptitude, project coordination skills, and the ability to convert detailed system instructions into clear, concise, and user-friendly learning experiences.

Key Responsibilities

  • Support the end-to-end migration of ERP and CRM training content from shared drives, legacy repositories, and other platforms into SharePoint and Visual SP.
  • Create a comprehensive inventory of existing Quick Start Guides, job aids, reference materials, and training assets.
  • Review, cleanse, de-duplicate, categorize, and standardize content before migration.
  • Identify outdated materials, content gaps, conflicting versions, and documents requiring SME review.
  • Develop and execute a content migration plan, including migration tracking, validation, issue resolution, and post-migration quality assurance.
  • Create and configure SharePoint document libraries, including folder structures, metadata, content types, views, filters, naming conventions, permissions, and version control standards.
  • Ensure migrated content is complete, accurate, accessible, searchable, and properly categorized.

Quick Start Guide Management

  • Update, format, organize, and maintain ERP and CRM Quick Start Guides and supporting learning materials.
  • Apply consistent templates, terminology, branding, naming standards, and document control requirements.
  • Coordinate with SMEs, business process owners, training leads, and project teams to validate content and incorporate system or process changes.
  • Maintain document ownership, review dates, approval status, version history, and content lifecycle information.
  • Conduct periodic repository audits to identify outdated, duplicate, incomplete, or missing content.

Training Video Development

  • Convert Quick Start Guides into short, task-based training videos that provide clear, practical instruction to ERP and CRM users.
  • Develop video outlines, scripts, storyboards, screen recordings, voiceovers, captions, and other supporting elements.
  • Break complex processes into concise, user-friendly learning segments appropriate for microlearning.
  • Edit and package videos according to organizational quality, branding, accessibility, and technical standards.
  • Partner with SMEs to confirm that video demonstrations accurately reflect approved system processes.
  • Update or replace videos when system functionality, business processes, or Quick Start Guides change.
  • Maintain alignment between the source Quick Start Guide, corresponding training video, and LMS course content.

LMS and Visual SP Administration

  • Upload, configure, test, publish, and maintain training videos and related materials within the LMS.
  • Create or update LMS course descriptions, titles, learning objectives, audience assignments, completion requirements, and supporting resources.
  • Test videos and course content to confirm functionality, accessibility, playback quality, and a positive learner experience.
  • Maintain training content within Visual SP, including uploading, organizing, updating, and retiring materials.
  • Ensure content is consistently categorized and presented across SharePoint, Visual SP, and the LMS.
  • Track content status and maintain records of published, revised, archived, and retired learning assets.

Content Governance and Quality Assurance

  • Establish and maintain content governance standards, templates, naming conventions, metadata requirements, review cycles, and archival processes.
  • Develop repeatable procedures for content intake, review, approval, migration, publication, maintenance, and retirement.
  • Perform quality-assurance reviews to verify content accuracy, consistency, usability, and platform functionality.
  • Maintain traceability between business processes, Quick Start Guides, videos/LMS courses, and Visual SP content.
  • Recommend improvements that enhance content searchability, accessibility, usability, and long-term maintainability.
  • Provide regular project updates identifying progress, risks, dependencies, content gaps, and decisions needed.

Required Qualifications

  • Demonstrated experience leading or supporting content migration projects, preferably involving training materials, document repositories, knowledge management systems, or learning platforms.
  • Strong working knowledge of SharePoint document libraries, including metadata, views, permissions, version control, searchability, and content organization.
  • Experience creating and maintaining training documentation, Quick Start Guides, job aids, or system-based learning materials.
  • Experience developing short instructional videos, including screen recording, basic video editing, voiceover, captioning, and publishing.
  • Experience uploading, testing, publishing, and maintaining digital learning content in an LMS.
  • Experience with Visual SP or a comparable digital adoption platform is strongly preferred.
  • Familiarity with ERP and CRM applications, preferably Microsoft Dynamics 365 Finance & Operations and Dynamics 365 Customer Engagement.
  • Exceptional attention to detail and a demonstrated commitment to content accuracy, consistency, and quality.
  • Strong technical aptitude and the ability to quickly learn new systems, platforms, and content development tools.
  • Strong organizational, project coordination, analytical, and problem-solving skills.
  • Ability to manage multiple workstreams, deadlines, and stakeholder reviews while working independently.
  • Strong written and verbal communication skills, with the ability to translate technical or process heavy information into clear user instructions.

Preferred Experience

  • Experience with instructional design, adult learning, digital learning, or microlearning development.
  • Experience using tools such as Camtasia, Adobe Captivate, Articulate 360, Microsoft Clipchamp, or similar video and e-learning development tools.
  • Knowledge of accessibility requirements, including captions, transcripts, readable layouts, and accessible learning design.
