Job Summary
Reporting to the Chief Executive Officer and supporting the Founders and executive leadership team, the Chief of Staff serves as a trusted strategic and operational partner who helps convert leadership priorities into coordinated action. This role drives execution of quarterly company priorities, prepares leaders to make informed decisions, coordinates initiatives that cross functional boundaries, and ensures commitments are carried through to completion.

The Chief of Staff must be comfortable operating at both the strategic and tactical levels. The position is an individual-contributor role initially and includes limited executive coordination and administrative support, but its primary focus is improving leadership effectiveness, organizational alignment, accountability, and execution.

Core Responsibilities

Strategic Priorities & EOS Execution

  • Partner with the CEO, Founders, and executive leadership team to translate company direction into clear annual and quarterly priorities
  • Coordinate and track company priorities “Rocks,” scorecard commitments, strategic initiatives, and leadership action items, ensuring owners, milestones, and deadlines are clearly established
  • Facilitate annual planning, quarterly planning sessions, leadership offsites, and other forums used to establish priorities and evaluate progress
  • Identify risks, dependencies, resource constraints, and unresolved decisions that may affect execution and bring them to leadership before they become barriers
  • Help maintain the company’s EOS operating rhythm and ensure issues are identified, discussed, resolved, and followed through to completion

Executive Leadership Coordination

  • Serve as a trusted advisor and thought partner to the CEO while maintaining strong working relationships with the Founders and members of the executive leadership team
  • Coordinate leadership meetings, including agendas, pre-read materials, decisions, action items, and disciplined follow-up
  • Prepare executive briefings, presentations, analysis, talking points, and decision-support materials for internal and external use
  • Help leadership sequence competing priorities, focus attention on the most important issues, and maintain alignment when priorities change
  • Ensure leadership decisions and expectations are communicated clearly to the appropriate owners and carried out consistently across the organization

Cross-Functional Execution & Accountability

  • Lead or coordinate high-priority initiatives that span Operations, Quality, Sales, Finance, Human Resources, Supply Chain, Research and Development, and other functions
  • Establish clear project plans, ownership, decision points, timelines, and measures of success for assigned initiatives
  • Build alignment among stakeholders, remove barriers to execution, and escalate issues requiring executive attention or resolution
  • Track commitments across departments and hold owners accountable for timely, complete follow-through without assuming ownership that belongs within the function
  • Support organizational change initiatives and help leaders translate decisions into practical implementation plans

Business Analysis & Operational Excellence

  • Develop and maintain leadership scorecards, dashboards, and reporting tools that provide a clear view of organizational performance and emerging risks
  • Analyze operational and business data, identify trends or gaps, and provide practical recommendations to improve execution and results
  • Evaluate and improve business processes, decision rights, meeting structures, handoffs, and other operating practices that affect efficiency and accountability
  • Lead special projects tied to growth, operational improvement, new capabilities, customer priorities, or other needs identified by the CEO

Executive Communications & Coordination

  • Draft or coordinate executive communications, presentations, reports, and messaging for employees, customers, business partners, and other stakeholders
  • Manage selected aspects of the CEO’s calendar, meeting schedule, and priorities to ensure time is aligned with the company’s most important needs
  • Represent the CEO or executive leadership team in meetings and projects when appropriate and within the authority provided
  • Handle confidential business, employee, financial, and organizational information with discretion and sound judgment

Responsibilities

  • Review documents, product details, and packaging information for accuracy
  • Coordinate with vendors and suppliers regarding timelines and deliveries
  • Track purchase orders, shipments, and project status updates
  • Follow up on outstanding items to ensure deadlines are met
  • Maintain organized records, spreadsheets, and internal documentation
  • Support operations, procurement, and administrative processes
  • Assist with cross-functional projects and internal coordination
  • Attend meetings and communicate updates with internal teams
  • Identify and escalate delays or issues proactively
  • Review and confirm quality standards of all new packaging ordered/received

Qualifications

  • Bachelor’s degree in business, management, finance, communications, organizational development, or a related field required; MBA or other advanced degree preferred
  • Minimum of five years of progressive experience in operations, consulting, strategic planning, program or project management, executive support, or a related field
  • Demonstrated success leading complex cross-functional initiatives and driving execution in an environment where priorities move quickly
  • Experience working directly with a CEO, Founders, or executive leadership team required
  • Management Consulting experience
  • Experience with the Entrepreneurial Operating System (EOS) or a comparable business operating system preferred
  • Strong business acumen and the ability to analyze information, identify what matters most, and turn conclusions into practical recommendations
  • Exceptional written and verbal communication skills, including the ability to prepare executive-level materials and communicate with employees at all levels
  • Demonstrated ability to influence without direct authority, manage competing priorities, and hold others accountable while maintaining productive relationships
  • High degree of executive presence, discretion, integrity, and judgment when handling sensitive or confidential matters
  • Strong command of Microsoft Office and experience using project management, reporting, or business collaboration systems
  • Ability to work on-site in Piscataway, New Jersey, and maintain flexibility based on executive and business needs
