This role involves handling day-to-day administrative activities, supporting scheduling efforts, and assisting in the preparation and distribution of critical reports. The ideal candidate is detail-oriented, organized, and proactive in facilitating smooth operations within the service department. Essential Duties and Responsibilities: Administrative Support: · Review, process, and maintain accurate records of IPQA forms. · Organize and order general office supplies to ensure the smooth functioning of the office. · Organize and prepare for routine and periodic meetings, including reserving meeting rooms, preparing documents, inviting attendees, and arranging meals. Operational Coordination: · Assist Trade Managers in reviewing and verifying project time punches and man-loading for accuracy. · Coordinate with the Scheduling Team to update and maintain Trade schedules as needed. · Facilitate the Daily Action Plan meeting, ensuring agenda items are addressed and documented. · Support Trade Managers with assigning teammate tasks in the TMAP system. Reporting and Communication: · Prepare and distribute service-related reports to stakeholders as needed. · Maintain and manage communication with Trade Managers, Project Managers, and Subcontractor Managers to ensure timely completion of tasks.
