Position Summary: The Specialist will work as part of the People & Culture organization to audit, clean up, and migrate our consultant documentation and data using Workday. This role will create standard guidelines for the handoff of information between legal, P&C, and the hiring manager. The Specialist will develop a SharePoint page for consultants and hiring managers as a one stop information source to get instructions, be directed to assistance, and find standard process documents. This role ensures total compliance within Workday, resolves data discrepancies, and improves the overall hiring manager and consultant experience by creating clear documentation and establishing a process for on-going monitoring.

Key Responsibilities:

• Document Audit & Data Alignment
• Identify executed agreements for all in-scope consultants. This includes Master Services Agreements (MSAs), Contracts, Statements of Work (SOWs), and Task Orders.
• Match all physical and digital documents to the corresponding consultant profiles in Workday.
• Audit Workday records to identify data entry errors or profile mismatches.
• Resolve all compliance errors and data discrepancies discovered during the audit.
• Candidate Compliance & Tracking
• Review active consultant profiles to ensure all required documentation is fully uploaded.
• Verify active status details including exact start dates, end dates, and work authorizations.
• Follow up directly with onboarded consultants to chase and secure missing training completions and signed policy documents in Workday.
• SharePoint Migration & Process Improvement
• Migrate the Consultant Management Project from the People Leader SharePoint site to the Legal SharePoint site.
• Establish a dedicated path and folder structure on the Legal site specifically tailored for hiring managers.
• Develop the site with the consultant, hiring manager, and task manager in mind to solve for hiring, onboarding, granting systems access, deprovisioning, compliance training/document completion, extensions, termination, and fast-paced turnover of consultants.
• Draft a simplified Standard Operating Procedure (SOP) guide to help hiring managers easily navigate the consultant onboarding steps.

Qualifications & Skills:

• Proficiency in Workday is preferred, specifically with worker profiles and document management.
• Expertise in SharePoint site administration and data migration.
• Strong attention to detail for auditing complex legal vendor documents (MSAs, SOWs).
• Highly collaborative style, capable of working across multiple functional areas to represent the People & Culture team
• Strong follow up skills, with attention to detail
• Effective time management and organizational skills
• Excellent oral/written communication, interpersonal, teamwork, and relationship-building skills with the ability to interact effectively with team members and stakeholders in the development of handoff guidelines.
• Ability to understand and adapt to rapidly changing priorities and to prioritize accordingly
• Flexibility, strong work ethic, and a strong desire to get stuff done
• Have an analytical mindset and have a track record of being a self-directed problem solver

Project Summary: The temporary worker will optimize the consultant management process by focusing on three main pillars:

• Data Integrity: They will audit legal documents (MSAs, SOWs, Contracts, Task Orders), match them to Workday profiles, and fix data entry errors.
• Onboarding Compliance: They will verify active candidate data (dates and authorizations) and chase consultants to complete mandatory training and policy sign-offs.
• System & Process Migration: They will move the consultant process from the People Leader SharePoint to the Legal SharePoint and create a simplified, one-stop information source for the consultant lifecycle catered to consultants, task managers and hiring managers, including a simplified step-by-step SOP guide for hiring managers.
