Project Assistant

Job Description:

• Triage and route a high volume of incoming emails
• Apply inbox rules and categories, draft and schedule replies, escalate items to program leaders, and track follow-ups through closure
• Create and update SharePoint lists and libraries
• Edit SharePoint columns and views, manage metadata, maintain trackers, and support basic permission management and page updates
• Perform routine data entry and verification across trackers and dashboards
• Reconcile discrepancies and maintain audit trails and change logs
• Update status boards and compile daily and weekly summaries
• Surface risks, blockers, and aging items to stakeholders
• Maintain SOPs, FAQs, and quick-reference guides
• Improve templates used in email and SharePoint
• Coordinate with engineering/design, PMO, and client-facing teams to ensure timely information flow and task follow-through

Requirements:

• Demonstrated experience managing high-volume email workflows in Outlook, including inbox rules, categories/flags, templates, and follow-up tracking
• High attention to detail with proven data entry and data verification skills
• Strong written communication; concise, professional drafting and summarization
• Ability to work independently in short, focused windows and reliably meet response SLAs
• Proficiency with Microsoft 365, including Outlook, SharePoint, Excel, and Teams
• Preferred: experience in electric utility programs/projects or engineering/design environments
• Preferred: SharePoint site/page editing and familiarity with permissions and content organization
• Preferred: Excel skills including lookups, filters, and conditional formatting
• Preferred: familiarity with status dashboards and escalation workflows
• Meticulous, organized, and process-driven
• Adaptable and proactive; anticipates stakeholder information needs
