Job Summary:

With reasonable accommodation if required, the IT Support will support the evaluation, implementation, and optimization of artificial intelligence tools, internal technology, and business systems, with a primary focus on Applicant Tracking Systems (ATS) used in the temporary staffing and recruiting industry. This role will assess AI vendors and products, test integrations and capabilities within the ATS environment, provide advanced Microsoft 365 support, coordinate day-to-day IT support needs, and use data analysis and process improvement to increase operational efficiency and system performance.

Duties:

• ATS & Systems Optimization:
• Serve as the subject matter expert (SME) for ATS platforms (e.g., Avionté, Bullhorn, etc.)
• Analyze current ATS workflows and recommend enhancements, integrations, and upgrades
• Serve as the primary point person for all Avionté ATS reporting, including report requests, development, validation, maintenance, troubleshooting, and distribution
• Develop and maintain custom reports and dashboards to support recruiting and operational teams
• Collaborate with IT and vendor support teams to implement system improvements and troubleshoot issues
• Train staff on new ATS features and best practices

Artificial Intelligence & Technology Evaluation:

• Research and evaluate AI vendors, platforms, and emerging technologies for recruiting, staffing, sales, and operational use cases
• Develop structured product tests and proof-of-concept evaluations to assess functionality, security, usability, scalability, cost, and business value
• Test AI products for compatibility and integration capabilities with the company’s ATS, Microsoft 365 environment, and other business systems
• Document findings, compare vendor capabilities, identify risks and limitations, and present recommendations to leadership
• Coordinate vendor demonstrations, implementation planning, pilot programs, user testing, and post-launch performance reviews
• Establish responsible-use guidelines and support employee training on approved AI tools and workflows

Reporting & Analytics:

• Design and run recurring and ad hoc reports to support decision-making across departments
• Identify trends and inefficiencies in recruiting and staffing processes using ATS data
• Present findings and actionable insights to leadership and stakeholders

Microsoft 365 & IT Support:

• Serve as the first point of contact for day-to-day employee technology issues involving computers, monitors, docking stations, printers, phones, internet connectivity, VPN access, and peripheral devices
• Receive, prioritize, document, track, and resolve IT support requests; communicate status updates and escalate complex or security-sensitive issues to external IT providers or software vendors
• Troubleshoot common hardware, software, password, login, printing, connectivity, email, Microsoft 365, ATS, and business-application issues
• Serve as an internal expert for Microsoft 365 applications, including Word, Excel, PowerPoint, Outlook, Teams, SharePoint, OneDrive, Forms, and related productivity tools
• Administer routine user access tasks, including creating and modifying accounts, assigning approved permissions and licenses, supporting password resets, and coordinating multifactor authentication
• Coordinate new employee computer setup, imaging or configuration, software installation, equipment assignment, account provisioning, security settings, and technology orientation before the employee’s start date
• Support employee transfers and offboarding by updating or removing access, coordinating data and mailbox transfers, collecting equipment, and documenting completion
• Install and update approved applications, browser extensions, printers, drivers, and other workplace technology in accordance with company standards
• Maintain an accurate inventory of computers, monitors, mobile devices, accessories, software licenses, warranties, equipment assignments, and replacement schedules
• Coordinate computer repair, replacement, warranty service, purchasing, and vendor support; verify that issues are resolved before closing requests
• Monitor recurring support issues, identify root causes, recommend preventive solutions, and maintain a knowledge base of common fixes and standard procedures
• Assist with cybersecurity practices, including phishing awareness, access reviews, device security, software updates, and prompt reporting of suspected security incidents
• Support technology for meetings, presentations, conference rooms, remote work, and employee collaboration
• Create user guides and provide individual or group training on Microsoft 365, AI tools, ATS functionality, cybersecurity practices, and other business applications

Process Improvement:

• Evaluate existing operational processes and recommend improvements for scalability and efficiency
• Document workflows and standard operating procedures (SOPs)
• Support cross-functional initiatives to align technology with business goals
• Provide backup support for timekeeping and payroll processing as needed
• Interface with recruiters, candidates, and clients to resolve system-related inquiries

Skills/Requirements:

• Associate or Bachelor’s degree and 4-5 years’ experience, or an appropriate combination of education and experience
• Ability to maintain absolute confidentiality at all times.
• Utilize independent judgement to plan, prioritize and execute on a timely basis
• Expert-level proficiency with Microsoft 365 applications and a high level of proficiency with applicant tracking systems and enterprise software such as Bullhorn, Avionté, or TempWorks
• Demonstrated ability to evaluate AI products, technology vendors, system integrations, data privacy considerations, and business-use cases
• Experience managing IT support requests, troubleshooting common hardware and software issues, and coordinating employee computer setup and technology onboarding

• While performing the duties of this job, employee is regularly required to use hands and fingers to handle, feel, keyboard and to reach with hands and arms. The employee is frequently required to stand, talk, and hear.
