Convention Manager

Reports To - National Director

Location - Hybrid weekdays at the corporate office; event weekends on-site at assigned venues

Employment Type - Full-Time Regular, Salaried Exempt (40+ hours per week)

Level - Management

Schedule - Weekday office hours, plus tour weekends: travel Thursdays, event days Friday and Saturday, travel Sundays. Summer events and Nationals run consecutive days on site, typically 710 days per event. Hours may start early, end late, or run as split shifts.

Direct Reports - On-site event staff, artists and crew during assigned tour weekends and events

Travel - Approximately 20 event weekends per year, plus required travel to summer events and Nationals (typically 710 days per event). Must be able to travel by air and share a hotel room with assigned company associates. International assignments require the ability to obtain and maintain a passport.

Before you apply what this role asks of you

1. You are available on weekends. This is a touring role. Roughly 20 weekends a year you will travel Thursday, run the event Friday and Saturday, and travel home Sunday. Evening and split-shift hours come with the territory.

2. Summer events and Nationals are part of the job. These are extended, consecutive-day commitments away from home typically 710 days per event and they are required in this position, on top of the tour weekends above.

3. You can run a live event without a script. Venues change, schedules move and problems surface mid-show. You stay calm, decide quickly, and keep the dancer experience intact. A huge plus: firsthand knowledge of the dance convention business as a dancer, studio professional, artists, or convention and competition staff.

Position Summary

The Convention Manager is responsible for the planning, execution, and management of every aspect of an assigned dance convention tour. This role owns event logistics, media coordination and travel operations, and is accountable for delivering a high-quality experience to the dancers, studios and faculty who attend. The Convention Manager works closely with the Events, Marketing, Production and Operations teams to keep event operations seamless and consistent with DanceOne's standards. During the week this individual handles office-based administration, registration and tour preparation; on event weekends they are the on-site owner of the show. Expect to travel on approximately 20 event weekends per year, plus required attendance at summer events and Nationals, which run as extended on-site commitments of roughly 710 days per event. The right person prioritizes adeptly, anticipates what the tour will need before it needs it, and thrives in a fast-moving environment where the schedule is never quite finished.

Essential Duties & Responsibilities

  • Plan and manage the assigned tour.
  • Own on-site event management.
  • Coordinate media and promotion.
  • Manage travel logistics.
  • Handle registration and client requests.
  • Support weekday office operations.
  • Prioritize and anticipate.
  • Perform additional duties as assigned.

Qualifications & Experience

  • Minimum of an associate's degree and at least two years of general office experience.
  • Weekend and travel availability. Able to travel approximately 20 event weekends per year, typically Thursday through Sunday, including early mornings, late evenings and split shifts.
  • Summer event and Nationals availability. Able to travel for and work summer events and Nationals, which are extended consecutive-day commitments of typically 710 days per event and are a required part of this position.
  • Able to travel by air and share a hotel room with assigned company associates; able to obtain and maintain a passport if assigned to international events.
  • Highly detail-oriented with excellent organization skills, and proficient with Word, Excel, Google Workspace, Teams, Slack, publishing tools and database systems.
  • Proven ability to carry multiple assignments at once and keep all of them organized.
  • Excellent command of the English language in speaking, listening, reading and writing.
  • Demonstrated professionalism and discretion, including the ability to maintain confidentiality.

Preferred

  • Prior experience in entertainment, music, live theatre or live production.
  • Knowledge of the dance convention business is a HUGE plus.
  • Experience coordinating group air, ground and hotel travel.
  • Experience managing a brand or event social media presence.

Physical Requirements & Work Environment

  • Physical requirements include, but are not limited to, computer screen time, sitting, standing, walking, bending, pushing and pulling, lifting up to 30 lbs. unassisted, fine motor skills, and visual and hearing abilities.
  • Keyboarding, extended screen time, and use of general office equipment.
  • Contemporary indoor office environment with shared work areas; fast paced and at times ambiguous.
  • At events, exposure to loud music and dark work areas with professional lighting that corresponds with our customers' dance music.
  • Regular air and ground travel, long event days and extended time on foot, including consecutive multi-day event runs at summer events and Nationals.
