Position Summary
The HR Generalist is responsible for supporting a broad range of Human Resources functions with a primary focus on employment eligibility verification, onboarding administration, employee services, HR compliance, and records management. This role serves as the organization's subject matter expert for Form I-9 administration and employment verification processes while providing exceptional support to employees, managers, and HR stakeholders.
The ideal candidate will have experience managing high-volume I-9 processing, onboarding activities, and employee lifecycle transactions while maintaining strict compliance, accuracy, confidentiality, and customer service standards. This position requires strong organizational skills, attention to detail, and the ability to effectively manage competing priorities in a fast-paced environment.
In addition to compliance and onboarding responsibilities, the HR Generalist will provide operational and administrative support across various HR functions to support departmental goals and business needs.
Essential Duties and Responsibilities
HR Compliance & I-9 Administration
- Serve as the primary administrator for the Form I-9 and employment eligibility verification program, ensuring compliance with all federal regulations.
- Process and complete high-volume employment eligibility verifications for new hires across multiple locations and employee groups.
- Provide training, guidance, and support to designated I-9 Administrators to ensure organizational consistency and compliance.
- Monitor I-9 processes, identify opportunities for improvement, and maintain required compliance documentation.
- Assist with internal audits, compliance reviews, corrective actions, and regulatory reporting activities.
- Stay informed on changes to employment eligibility laws and best practices to ensure continued compliance.
Onboarding & New Hire Support
- Coordinate onboarding activities for new employees, including employment verification, system access, employee photos, and orientation support.
- Cross-train in new hire processing functions and provide support during periods of increased hiring activity.
- Ensure a positive and efficient onboarding experience through proactive communication and issue resolution.
- Support employee lifecycle transactions while maintaining accuracy and compliance standards.
Employee Services & HR Support
- Serve as a primary point of contact for employee and manager inquiries regarding HR policies, procedures, and programs.
- Manage the HR shared inbox and HR phone line, responding to inquiries and routing requests appropriately.
- Provide timely, professional, and customer-focused support to employees and leadership.
- Assist with employee recognition programs, service milestone initiatives, and engagement activities.
Employment Verification & Records Administration
- Maintain employee records and HR documentation with a high degree of confidentiality and accuracy.
- Ensure compliance with document retention requirements and support audit readiness efforts.
- Assist with record maintenance and documentation throughout the employee lifecycle.
HR Operations & Administrative Support
- Process incoming HR mail, including scanning, electronic filing, distribution, and document management.
- Maintain HR forms, policies, job descriptions, organizational charts, and department records.
- Support HR projects, process improvement initiatives, audits, and special assignments.
- Provide administrative support to HR operations and other departmental functions as needed.
- Collaborate effectively with remote and on-site HR team members to achieve organizational objectives.
Qualifications
Required Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field preferred; equivalent experience considered.
- Minimum of two years of Human Resources, Employee Services, HR Operations, or related experience.
- Demonstrated experience administering Form I-9 employment eligibility verification, including high-volume processing and compliance management.
- Experience supporting high-volume hiring, onboarding, or employee lifecycle transactions.
- Strong knowledge of employee records management and confidentiality requirements.
- Exceptional organizational and time management skills with the ability to prioritize multiple tasks and deadlines.
- Strong attention to detail and commitment to accuracy.
- Excellent interpersonal, communication, customer service, and problem-solving skills.
- Proficiency with Microsoft Office Suite and HR information systems.
- Ability to work independently and collaboratively within a team environment.
Preferred Qualifications
- Experience serving as an I-9 Administrator or supporting an organization-wide I-9 compliance program.
- Experience training employees or managers on I-9 regulations and employment verification procedures.
- Experience supporting multi-location or multi-state workforces.
- Experience with HRIS platforms such as UKG.
- Experience working in higher education or a similarly complex organization.
- SHRM-CP, PHR, or other HR certification preferred.
