Front Desk Assistant
Job Summary: Our front desk assistant serves as a team representative, internally and externally, both via telephone and in person displaying courtesy, professionalism and enthusiasm in all interactions with building guests, employees and industry partners. The front desk assistant will be responsible for all front desk operations and procedures and acts as the first point of contact for the branch ensuring employees and visitors are allocated the appropriate access to the branch via badges and/or sign-in(out) logs. This role is best suited for an established practitioner who prefers maintaining steady workflows over dynamic progression tracks.
Responsibilities:
- Greet, assist, and direct visitors in a friendly, professional, and courteous manner.
- Answer calls on multi-line phone system, directing to the proper employee/department with a welcome friendly manner.
- Oversee all incoming/outgoing mail, packages and courier services and delivers accordingly, as needed where needed.
- Observes and maintains lobby security procedures, monitoring the logbook and visitor badges and ensuring employees are using proper protocols to access secure areas of the branch.
- Maintains building employee and department directories.
- Maintain upkeep and inventory of small lobby, mailroom and lobby kitchenette.
- Maintains emotional intelligence, through high pressure situations where you may be required to address difficult situations and make prompt decisions in emergency and non-emergency situations.
- Various other clerical duties/projects as assigned.
Required Qualifications:
- Minimum of high school diploma.
- 2+ years experience as a front desk assistant, administrative assistant, or administrative support.
- Proficiency with Windows applications primarily Word, Excel, Power Point and Outlook.
- Excellent organization skills, accuracy, dependable work habits and good communication skills.
- Ability to respond to common inquiries or complaints from customers.
- Ability to plan work and sequence priorities.
- Ability to be flexible and handle a variety of tasks simultaneously.
- Ability to speak articulately one-on-one or to small groups.
- Ability to compose articulate and grammatically correct written communication.
- Ability to perform under difficult conditions, such as simultaneous deadlines.
- Ability to handle conflict.
Preferred Qualifications:
- Associates degree in business administration or equivalent.
- 3+ years experience as a front desk assistant, administrative assistant, or administrative support.
- Ability to handle a variety of tasks simultaneously while managing time and efficiency.
- Professional business acumen when speaking to employees and visitors.
- Must thrive in flexibility, high-consistency execution, seeking long-term stability.

- Must be able to effectively communicate, (ie see, hear, speak and write clearly) in order to communicate with colleagues and/or customers; manual dexterity required for occasional reaching, lifting of light office objects, and operating office equipment

- The office is clean, orderly, properly lighted and ventilated. Noise levels are considered low to moderate
