Job description
Our client is in immediate need of an Operations & Finance Manager to be responsible for maintaining the company’s financial health, ensuring compliance with regulatory requirements, and managing key operational responsibilities. The ideal candidate will have a strong background in finance, experience with QuickBooks, and familiarity with ESOP administration. This role is essential to ensuring smooth day-to-day financial operations and long-term fiscal planning.
Key Responsibilities:
Finance & Accounting:
- Maintain the General Ledger in QuickBooks, overseeing accounts receivable and accounts payable.
- Conduct monthly, quarterly, and yearly financial closings, including reconciliations, journal entries, accruals, and balance sheet management.
- Ensure accurate financial reporting and compliance with corporate tax filings.
- Coordinate with the company’s CPA to oversee general ledger maintenance and tax reporting.
Payroll & Benefits Administration:
- Administer payroll functions, including quarterly and yearly tax filings (940, 941, W-2s, 1099s).
- Oversee 401(k) and ESOP administration, serving as a key liaison with valuation companies.
- Maintain accurate vacation and PTO accrual records.
- Administer workers’ compensation policies and manage audits.
- Handle corporate insurance and health insurance renewals.
Compliance & Operations:
- Manage sales tax remittance and reporting.
- Maintain WBE and HUB certifications to ensure compliance and business eligibility.
- Oversee procurement processes, including purchase orders and art acquisitions for projects.
- Support production management by setting up projects and ensuring financial tracking.
- Act as a liaison with the Production Manager to align operational and financial goals.
Corporate Leadership & Governance:
- Serve as Trustee for the ESOP Plan.
- Serve as Secretary of the Corporation and a member of the Board of Directors.
- Work with valuation firms for ESOP assessments.
- Ensure proper documentation and compliance for corporate governance matters.
Qualifications & Requirements:
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field (or equivalent experience).
- 3-5+ years of experience in finance, accounting, or administrative operations.
- Proficiency in QuickBooks and general ledger management.
- Experience with ESOP administration preferred.
- Strong knowledge of payroll tax laws, 401(k) administration, and corporate compliance.
- Ability to manage multiple priorities, with strong attention to detail and organizational skills.
- Strong collaboration skills to work with external partners, including CPAs, valuation firms, and tax agencies
