Position Summary

The Utility Associate manages utility account transitions and builds strong relationships with key utility providers. This role will ensure seamless utility service transitions during property acquisitions and dispositions, manage the timely transfer or removal of accounts, and serve as the primary point of contact for large utility providers. This role is essential to ensuring smooth operations and maintaining excellent vendor relationships across our portfolio.

Responsibilities

To perform this job successfully, an individual must be able to perform the following satisfactorily; other duties may be assigned. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Serve as the primary liaison with large utility providers and negotiating terms or resolving disputes large, high-priority utility providers (e.g., electricity, water, gas, waste management).
  • Negotiate service terms, resolve disputes, and manage escalated concerns with utility providers.
  • Coordinate the transfer of utility accounts from the previous management company to our company during property acquisitions.
  • Ensure the prompt removal of our company from utility accounts when a property is sold or management responsibilities end.
  • Maintain accurate records of utility account changes and confirmations.
  • Communicate with billing provider and utility providers, facilitate issued discussion and resolution.
  • Identifying and implementing opportunities to improve utility account transfer processes and improve efficiency.
  • Monitor compliance with utility service agreements, ensuring adherence to all terms and conditions.
  • Prepare reports on utility usage, account transitions, and vendor performance for internal stakeholders.
  • Act as liaison between providers and Operations.
  • Research and recommend changes to billing methods to enhance property income and mitigate risk.
  • Provide directions to utility billing provider based on RPM Living process and procedures, utility income and expense while following utility regulations in all markets.
  • Transitions on property utilities in assigned region.
  • Handles disposition of property utilities in assigned region.
  • Provides support to Operations team for stabilized properties in assigned Region.
  • Completes Quality Assurance checks on properties utility services.

Education and Experience

  • High school diploma or equivalent.
  • One year or more work experience in the multifamily industry preferred.
  • Knowledge of utility systems (electricity, water, gas), including how they are billed, metered, and managed within a residential property portfolio.
  • Knowledge of federal, state, and local regulations affecting utility accounts and vendor agreements.
  • Knowledge of budgeting, cost analysis, and how utility expenses impact property financials.
  • Skilled in identifying and addressing complex issues related to utility account transitions and vendor compliance.
  • Skilled in Microsoft Office Suite.
  • Ability to communicate effectively verbally and in writing
  • Ability to establish, maintain, and leverage relationships with large utility providers to resolve disputes, negotiate terms, and improve service delivery.
  • Ability to make high-stakes decisions regarding utility account setups, removals, and vendor negotiations without supervision.
  • Ability to independently oversee utility account transitions, ensuring accuracy and adherence to timelines without requiring detailed instructions.

Qualifications

Physical Requirements:

  • May be required to sit or stand for extended periods of time
  • Must be able to read documents, computer screens and data
  • Must be able to hear and understand verbal communications in person and over the phone or computer
  • May occasionally be required to lift or carry items such as files or office supplies weighing up to 15 pounds
  • Must be able to operate a computer, keyboard, mouse and other office equipment

Work Environment:

  • This is a hybrid role, requiring the associate to work in one of our corporate or regional offices 4 days per week
  • The office is an open setting which may include bright lights, constant noises and distractions
