Deputy Clerk I
This posting may close at any time once a sufficient number of applications have been received. The Deputy Clerk I performs specialized clerical, administrative, and secretarial work in an assigned department.
Examples of duties include answering telephones and greeting visitors, providing information or referring inquiries to appropriate personnel, routing incoming calls and recording messages, responding to emails and faxes as necessary, utilizing computerized data entry equipment and various word processing and file maintenance programs to enter, store, and/or retrieve information, maintaining pertinent files and records, scanning and copying documents as necessary, ensuring files are complete and accurate, processing incoming and outgoing mail, balancing the cash drawer daily and preparing related reports on a daily and weekly basis, screening applications for services, determining the validity or correctness of the application to issue certified copies of birth certificates, death certificates, and marriage licenses, screening applicants for birth and death records to determine eligibility to obtain such documents, recording legal documents, analyzing and evaluating submitted documents for accuracy and inclusion of all legal requirements, collecting court costs and fees, scanning all recorded documents, including birth and death certificates, as well as marriage licenses, performing verification process and scrutinizing captured image for accuracy, completeness, and image quality, manually indexing the records after scanning, opening and assigning criminal cases to various courts and delivering them to the courts for further processing, performing passport services for US citizens, and performing other related duties as required.
Minimum qualifications include a high school diploma or GED and minimum of one year of experience in a related field, or an equivalent combination of education and related experience. Completion of some college-level coursework is preferred. Specific certifications related to the area of assignment may be required for this position.
