Job Description
To serve as civilian employee of the Indiana State Police whose primary responsibility is to manage and control inventory of Quartermaster supplies, vehicle fleet and vehicle part assets. To apply accounting and business practices of the Capitol Assets assigned to Indiana State Police BU 00100. In accordance with Chapter 8, CAPITOL ASSET ACCOUNTING and STATE of INDIANA CAPITOL ASSET. Process all transactions in a timely manner. Maintain an up-to-date Database of assets and their attributes. Completion of the FY annual audit process by deadline.
Job Duties
Oversee the management and control of Quartermaster supplies, vehicle fleet and vehicle part assets.
Administer, track, and maintain thorough records of Quartermaster supplies, vehicle fleet and vehicle part assets.
Function as the technical specialist for PeopleSoft computer applications.
Ensure that reports are complete and submitted timely.
Analyze data and prepare reports for management review.
Represent the Department at various technical and user meetings.
Maintain Purchase Orders suspense folders.
Work with IDOA and Asset Works to resolve Peoplesoft issues.
Create and update Peoplesoft assets.
Create and run reports for information needed out of the Peoplesoft system.
Research and institute advanced features of the Peoplesoft system.
Direct and assist support personnel with daily duties and special projects.
Check AM transaction loader and load process
Update the customer and location of each new asset loaded
Update all assets per Capitol Asset Policy for each fiscal year
Create new assets in Peoplesoft
Perform other duties as assigned
Job Qualifications
Must be a high school graduate or equivalent G.E.D.
Peoplesoft experience.
Knowledge of resource management and applicable computer programs.
Training and/or experience teaching, including oral and written presentations.
Ability to manage simultaneous duties or projects, prioritize work, and meet deadlines.
Ability to function independently.
Ability to maintain confidentiality.
Ability to work under pressure and successfully function in a stressful environment.
Must possess organizational skills and be detail-oriented.
Ability to communicate effectively, both verbally and in writing.
The candidate must be able to read and understand vendor supplies manuals, journals, and other documentation associated with asset and fleet management system applications.
Ability to operate and maintain office equipment to include telephones, typewriters, copy machines, calculators, and computers.
