Job description

WildFire Energy LLC is seeking a detail-oriented and organized Virtual Records Management Clerk to join our team. This role is essential in maintaining the integrity, accessibility, and security of our company's vital records and documents. As a key contributor to our operational efficiency, you will manage digital and physical records while supporting compliance and data accuracy across departments.

Key Objectives

  • Ensure accurate and timely management of company records in compliance with internal policies and regulatory requirements.
  • Maintain and update electronic filing systems to facilitate easy retrieval and secure storage of documents.
  • Support cross-functional teams by providing organized and accessible records for audits, reporting, and operational needs.

Responsibilities

  • Organize, classify, and maintain electronic and physical records according to established procedures.
  • Perform regular audits of records to ensure accuracy, completeness, and compliance.
  • Assist in the development and implementation of records management policies and best practices.
  • Coordinate with various departments to collect, archive, or dispose of records as per retention schedules.
  • Respond promptly to requests for information and documentation from internal teams and external partners.
  • Utilize records management software and tools to track document status and location.
  • Maintain confidentiality and security of sensitive information at all times.
  • Support continuous improvement initiatives to enhance records management processes and workflows.

Qualifications

  • High school diploma or equivalent required; associate's or bachelor's degree in business administration, information management, or related field preferred.
  • Proven experience in records management, data entry, or administrative support, preferably in a virtual setting.
  • Familiarity with records management systems, document control software, and cloud-based platforms.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to manage multiple tasks and prioritize workload effectively.
  • Discretion and integrity in handling confidential information.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new technologies.
