Job Description:

The Academic Program Coordinator supports the effective delivery of the College of Veterinary Medicine's online graduate programs by coordinating the operational execution of curriculum delivery across academic terms. This role focuses on course readiness, learning system coordination, accessibility implementation, and project-based operational support for curriculum redesign initiatives, in collaboration with faculty, Academic Program Leads, and instructional design support teams.

The position serves as the primary point of coordination for curriculum delivery operations, ensuring that courses are prepared, compliant, and ready for instruction each term. Responsibilities include coordinating course setup and learning systems, implementing accessibility and accommodation requirements, supporting faculty operational needs related to course delivery, and managing timelines and deliverables for curriculum-related projects. This role does not include instructional design, content development, or pedagogical decision-making.

The Academic Program Coordinator works closely with the Director of Distance Education Operations, Academic Program Leads, and campus support units to align academic priorities with operational execution and ensure a consistent, scalable curriculum delivery model for CVM's online graduate programs.
About the Programs: The College of Veterinary Medicine's online graduate programs in Shelter Medicine and Veterinary Forensics support students who are deeply committed to improving animal welfare, public health, and community outcomes. Many students work directly in shelters, investigative settings, or related service roles and bring a strong sense of purpose to their academic work. This role offers the opportunity to support students whose work has a meaningful, real-world impact on the lives of animals and the communities they serve.

Duties include:

Curriculum Delivery Readiness & Term Execution
  • Create and manage academic course sections in the university student information system each term, ensuring accurate setup, coding, and alignment with approved course offerings.
  • Create, configure, and maintain Canvas course shells for online graduate courses each term, including timelines, dependencies, and required approvals, to ensure courses are prepared for launch.
  • Configure and populate course components in Canvas, including assignments, assessments, and modules, based on faculty-approved materials, templates, and instructional plans.
  • Coordinate faculty onboarding and operational training related to curriculum delivery, including scheduling, distribution of materials, and coordination with campus support units and external partners.
  • Manage course setup activities, including coordination with faculty, Academic Program Leads, and campus support units to ensure courses are properly configured in Canvas and associated learning systems.
  • Support faculty with operational aspects of course delivery, including timelines, evaluation setup, grade submission logistics, and issue resolution related to delivery readiness.
  • Monitor term-level delivery activities and identify risks or gaps requiring operational intervention.

    Learning Systems & Accessibility Implementation
  • Coordinate and implement accessibility and accommodation requirements for online courses, including formatting course materials to support ADA compliance and approved accommodations.
  • Work with faculty, instructional design partners, and central university units to ensure accessibility standards and system requirements are met.
  • Ensure learning systems, tools, and integrations associated with Canvas course shells are properly configured and functional for course delivery.
  • Maintain documentation and operational processes related to learning systems and accessibility implementation.

    Curriculum Redesign & Project Coordination
  • Provide administrative project management support for curriculum redesign initiatives, including coordination with external vendors, faculty, and Academic Program Leads.
  • Track project timelines, deliverables, dependencies, and approvals to support timely and effective execution of curriculum-related projects.
  • Serve as the operational point of contact for curriculum redesign initiatives, ensuring alignment between academic direction and execution.
  • Document processes, lessons learned, and operational recommendations related to curriculum projects.

    Collaboration & Continuous Improvement
  • Collaborate with the Director of Distance Education Operations, Academic Program Leads, and program support staff to align academic priorities with operational execution.
  • Identify opportunities to improve curriculum delivery processes, workflows, and coordination.
  • Coordinate and maintain operational onboarding resources and documentation to support faculty readiness for online course delivery.
  • Participate in special projects and initiatives that enhance the effectiveness and scalability of CVM's online graduate programs

    Compliance, Reporting & Operational Coordination
  • Support compliance with university, college, and program requirements related to course delivery, accessibility, and instructional operations.
  • Assist with operational data collection, reporting, and documentation related to curriculum delivery activities.
  • Coordinate with campus partners to support audits, reviews, and reporting requests as needed.
  • Maintain operational records and documentation to support continuous improvement.

    Other Duties
  • Perform other related duties as assigned in support of student services and academic program operations.

    Expected Salary:

    $60,000 - $70,000 / annually

    Required Qualifications:

Bachelor's degree and three years of relevant experience; or an equivalent combination of education and experience.

    Preferred:

  • Bachelor's degree in a related field such as education, higher education administration, instructional technology, project management, information systems, or a similar discipline.
  • One (1) to three (3) years of experience supporting academic programs, curriculum delivery, instructional operations, or related administrative or operational functions.
  • Experience working with learning management systems (e.g., Canvas) and student information systems, including coordinating course setup, term readiness, or learning systems configuration for online courses.
  • Experience working with educational technology tools such as Zoom, Mediasite, VoiceThread, Yellowdig, ExamSoft, or similar platforms.
  • Proficiency with productivity and content creation tools such as Microsoft PowerPoint, Adobe Acrobat, Adobe Creative Cloud applications, Canva, or similar tools, with the ability to format and prepare materials for online delivery and accessibility.
  • Familiarity with accessibility and accommodation requirements in online learning environments.
  • Experience coordinating onboarding, operational training, or instructional readiness activities.
  • Demonstrated experience coordinating workflows, timelines, or projects involving multiple stakeholders and competing priorities.
