Position Summary:
The Accounting Coordinator is responsible for maintaining accurate accounts receivable records, processing donations and customer payments, entering billing invoices and supporting the organization's financial operations. This position works closely with internal departments, funding partners and external stakeholders to ensure timely collections, accurate reporting and compliance with accounting procedures. This is a hybrid, non-exempt position, with four days per week in the office at 2619 Broadway Oakland, CA 94612.
Essential Duties and Responsibilities:
Accounts Receivable
Sort incoming mail daily, log all payments received, and accurately record and import receipts into Sage CRE in a timely manner.
Track all checks received in accordance with dual control procedures.
Prepare cash, credit card, and check deposits in coordination with the Fundraising Department, submitting checks via the bank's online portal.
Enter stock donation batches into Sage CRE, in coordination with the Fundraising Department.
Enter AR billings into Sage CRE.
Reconcile accounts receivable balances against departmental reports and investigate discrepancies.
Perform monthly AR aging analysis.
Collaborate with cross-departmental teams for donations and AR collections.
Maintain customer account records, accounting records and supporting documentation.
Accounting Support
Assist the Accounting Manager in monitoring tax compliance and administration matters.
Prepare monthly journal entries for review and approval.
Assist with monthly, quarterly, and year-end closing activities.
Assist with annual audits and provide supporting documentation as requested.
Maintain petty cash for the Oakland office and ReStore locations.
Assist with other Accounting and Finance functions as assigned.
Knowledge, Skills, and Abilities:
A degree in Accounting, Finance, or equivalent experience.
1-3 years of accounting, bookkeeping, or accounts receivable experience.
Knowledge of double-entry bookkeeping principles.
Strong data entry, numerical, and analytical skills; 10-key proficiency preferred.
Proficiency with MS Office Suite, including Outlook and Teams.
Experience with Sage CRE 300 or similar accounting software preferred.
Demonstrated ability to maintain confidentiality and exercise discretion in sensitive matters
Organized & detail-oriented with strong customer service skills.
Ability to prioritize multiple tasks and work effectively in a fast-paced environment.
Experience in a nonprofit and/or construction-related organization preferred.
Ability to work both independently and collaboratively in a team environment
Working Environment/Minimum Physical Requirements:
This is a hybrid position, working four days per week from our Oakland office and one day remotely. The role involves repetitive motion associated with computer and office work and may occasionally require travel to other sites within our three-county service area.
Compensation & Benefits:
Compensation is based on experience. We offer health, vision, and dental insurance to full-time employees and cover 90% of employee premiums, and 50% for spouse and dependents. We provide a 4% annual salary match to your 403(b)-retirement plan after one year of service, with a three-year cliff vesting. We also offer generous paid time off including vacation, sick leave, and 13 paid holidays.
Pay Range: $26.00-$31.00 per hour, annual equivalent $54,080 to $64,480.
