Real Estate Portfolio Database Management

  • Works closely with Facilities leadership and AV's third-party real estate service provider to ensure the database containing facility lease information is maintained and accurately reflects real time conditions.
  • Expected to establish processes and programs that allow for continual modifications to report content/output that support the business' ability to make data-driven decisions relative to facilities.

  • Coordinate with Facilities, Legal, and Finance on lease terms, renewals, termination options, financial obligations, and critical action dates.
  • Oversee lease data integrity in relevant systems and support portfolio reporting and decision-making.

Workplace Utilization & Metrics Reporting

  • Lead the development and ongoing management of workplace utilization and occupancy metrics across AV's global portfolio.
  • Design and maintain dashboards and recurring reports that synthesize data from multiple sources (e.g., badge access, reservation system, space inventories).
  • Analyze trends in space utilization, headcount growth, and workplace patterns to support space planning and real estate decisions.
  • Provide data-driven recommendations to optimize workplace layouts, capacity, and service levels.

Workplace Reservation System Management

  • Serve as the business owner for AV's workplace reservation system (e.g., for desks, meeting rooms, collaboration spaces).
  • Define business requirements, policies, and configuration standards in partnership with DBT and local Facilities teams.
  • Work closely with Facilities leadership to promote system adoption, user training content, and ongoing support/training for employees.
  • Monitor utilization and system performance; drive enhancements, issue resolution, and change requests.
  • Develop reporting capabilities that provide meaningful metrics for business unit leaders to make data-driven decisions regarding facilities.

Corporate Social Responsibility (CSR) Reporting

  • The Legal department has primary ownership for submitting the annual CSR report. The PM acts as lead representative for the Facilities organization in its role coordinating preparation, data collection, development, and submission of the annual CSR report.
  • Manage facilities-related social corporate responsibility (CSR) initiatives, including environmental sustainability, resource efficiency, and community engagement efforts tied to facilities operations.
  • Coordinate cross-functional CSR projects with EHS, P&C, and Communications, ensuring alignment with AV's corporate responsibility strategy.
  • Track and coordinate reporting on program performance (e.g., energy savings, waste reduction, community impact) to internal stakeholders and for external reporting as needed.

Facilities SharePoint Site Management

  • Own the structure, content strategy, and governance of the Facilities SharePoint site.
  • Work closely with Facilities leadership to ensure information provided on the SharePoint site (portfolio metrics, policies, procedures, service guides, request forms, FAQs) is accurate, up-to-date, meaningful, and easy for employees to find and use.
  • Establish content lifecycle management processes, including reviews, updates, and archival.

Basic Qualifications (Required Skills & Experience)

  • 8+ years of experience in facilities management, corporate real estate, workplace operations, data analytics, or related program management roles.
  • Demonstrated experience managing cross-functional programs or projects involving multiple stakeholders and locations.
