Job description

Summer Program Coordinator

The Girl Scout mission is to build girls of courage, confidence, and character, who make the world a better place. Behind every Girl Scout and volunteer is a team of local staff ready to help them earn that next badge, embark on a camping adventure, or organize an impactful service project. We are Girl Scouts of Northern New Jersey (GSNNJ) serving girls in grades K-12 in Bergen, Morris, Passaic, Sussex and northern Warren counties. We bring the Girl Scout Leadership Experience to 19,000 girls and 10,200 adult members. GSNNJ is excited for the upcoming opening of its' very own DreamLab.

The DreamLab is designed to become a bold, imaginative hub for sisterhood a space where ideas ignite, friendships flourish, and limitless possibilities come to life. This dynamic new experience center will offer Girl Scouts a whole new and meaningful way to explore our four pillars STEM, Life Skills, Entrepreneurship, and Outdoors. DreamLab will provide an innovative, hands-on learning environment where girls explore STEM, creativity, and entrepreneurship through real-world experiences. Designed as a dynamic makerspace and discovery hub, DreamLab offers programs including summer camps, workshops, field trips, and badge-based learning experiences.

DreamLab Summer Programs will run from July 6 through August 21 and are structured as a series of themed, week-long studio experiences for girls in grades K12. Each week, participants dive into a specific focus area while building skills, friendships, and confidence through hands-on, project-based learning.

We are looking for a talented Summer Program Coordinator to join our team! The Summer Operations Coordinator is the organizational backbone of DreamLab. This role ensures that every day runs smoothly by managing logistics, materials, scheduling, and systems across all programs. This is a highly hands-on, fast-paced role for someone who thrives on organization, anticipates needs before they arise, and can keep multiple moving parts aligned at once. This role works closely with the Head of DreamLab Operations, Associate Director of DreamLab Operations and Lead Facilitators to ensure a high-quality, seamless experience for all participants and staff.

Schedule:

  • Partial part of June: upto 20 hours/week (training + preparation)
  • July 6 August 21: MondayFriday during program hours (approx. 3040 hrs/week)

What You'll Do

Daily Operations & Program Flow

  • Prepare and distribute materials for each studio (STEM, culinary, media, maker, etc.)
  • Maintain organization of shared spaces and storage areas
  • Ensure all rooms are set up and reset daily
  • Track inventory and flag supply needs in advance

Staff & Schedule Coordination

  • Support daily staff assignments and coverage
  • Adjust staffing in real time as needed (absences, program shifts, etc.)
  • Serve as a go-to problem solver for staff throughout the day

Family Communication & Front-Facing Support

  • Serve as a point of contact for families during arrival/dismissal
  • Support communication related to schedules, logistics, and participant needs
  • Help ensure a welcoming, organized front-of-house experience

Systems & Organization

  • Maintain attendance records and daily documentation
  • Keep systems organized (schedules, rosters, materials lists)
  • Identify inefficiencies and proactively improve processes

June Responsibilities (20 hours/week)

  • Set up operational systems (attendance, schedules, materials tracking)
  • Organize and inventory supplies across all program areas
  • Prepare program spaces for launch
  • Support staff onboarding and training logistics
  • Help build daily schedules and operational plans

Requirements

  • Strong organizational and systems-thinking skills
  • Experience in operations, program coordination, or administrative roles
  • Ability to manage multiple priorities in a fast-paced environment
  • Excellent communication and problem-solving skills
  • Experience working in youth programs, schools, camps, or events strongly preferred

What Makes Someone Successful in This Role

  • You are highly organized and detail-oriented
  • You anticipate needs before they become problems
